Ellipsis has always been consultative/strategic in our approach, we started building AI search products in 2021 on GPT-2, and thus this has been a time for us to thrive. Today, we think we have a better understanding of AI search than almost anyone else. We have both the tracking product (built in-house), the data (~25 million AI answers for analysis, with more tracked weekly), and the execution end-to-end from strategy, to writing, to in-house design, to optimisation, and performance reporting.
We're looking for an Executive Assistant to help our Founder and Managing Director, Alex, and our Chief of Staff, Anna, make the best possible use of their time, while ensuring important work across the business is prepared, coordinated and followed through. You'll provide day-to-day EA support to Alex and work closely with Anna on wider business matters. You will be the metronome that helps the business keep moving.
Your work will be extremely high-impact, and you’ll be involved at a high level across the business. This is not a general operations role: your focus is excellent executive support, careful coordination and practical follow-through. This position can be broken down as follows: 60% support to Alex.
40% support to Anna on wider business priorities, including finance and people administration. Remote work requires trust, and in this role this will be absolutely critical. Trust is built over time, and accordingly your
responsibilities
will grow over time. Our hope is that you will prove indispensable to the business, but we understand it will take months to get to this place. Thus, below is a list of some of the responsibilities you’ll be able to grow into over time.
Support to Alex Your most important responsibility is helping Alex maximise his time, protect his attention, reduce unnecessary context-switching, and stay focused on the work where he adds the most value. Calendar management: Own and manage Alex’s diary and calendar. Protect focused work and create space for strategic priorities.
Make sensible scheduling decisions using your knowledge of Alex’s priorities, resolve clashes proactively, and account for preparation, travel time, location, time zones and the purpose of each meeting. Challenge or reorganise meetings where there is a better use of Alex’s time, and make sure Alex has the right preparation and information before important meetings. Inbox and communication : Assist the Managing Director with maintaining an organised and efficient inbox, including drafting replies or responding directly on his behalf at times.
Effectively triage emails, understand possible courses of action, and present information to Alex in a way that lets him quickly provide a batch of responses that unblock you. Chase outstanding replies, actions and commitments, and build templates and systems for recurring email patterns so that important messages and obligations do not disappear. Briefings : Prepare a clear, concise morning briefing for Alex at the start of each day before he logs on (8.30am uk), giving him an overview of his schedule, priorities, deadlines, outstanding decisions and follow-up.
Monitor his relevant communication channels, use judgement to identify what needs his attention, and make sure he is reminded of important to-dos, commitments and preparation ahead of time. These briefings are sometimes also required in the afternoon. Day-to-day tasks : The remit of this role is not “follow this clearly defined process every time”, but “take this mostly finished project and figure out how to proactively take it to completion”.
These tasks might touch project management, writing/editing, triaging information, posting on LinkedIn, research, drafting communications and ensuring action is taken. You’ll need to work out the information, stakeholders, decisions and follow-up required, rather than waiting for every task to arrive as a fully documented process. Meetings : Prepare for meetings, including ensuring slides, agendas and internal notes are prepared.
Your goal is to ensure we utilise meeting time most effectively and are able to put our best foot forward. Use approved AI tools to capture and summarise meetings where appropriate, then check the output for accuracy and missing nuance. Extract decisions, actions, owners and deadlines; create follow-up tasks and communications; and make sure agreed actions are completed.
This is about excellent preparation and follow-through, rather than traditional minute-taking as an end in itself. Travel : Coordinate complex travel for Alex. Prepare clear itineraries and manage flights, hotels, transport, meetings, dinners and contingencies.
Occasional personal administration : This is a business-focused role and the overwhelming responsibility is with the business. You may be occasionally asked to take care of personal admin for Alex where this meaningfully protects his time. Support to Anna and the wider business You will report directly to Anna.
Outside of supporting Alex, your role is to help her deliver wider team and business priorities. Finance administration : This is an important part of the role. Support Anna with Ellipsis's day-to-day finance administration.
This includes filing expenses, collecting invoices and receipts, preparing client invoices for review, gathering freelancer and supplier invoices, preparing payment information for approval, and chasing late client payments. You'll keep records accurate and tidy, help manage the finance inbox, and flag discrepancies promptly.
